Finance & Admin Assistant
The Finance & Admin Assistant is responsible for providing financial accountancy & and administration Support to the day-to-day management of the finance functions in the LWF Jordan program.
Roles & Responsibilities:
Finance:
- Review expense vouchers submitted by requestors to ensure that account codes are correct, the projects still exist and the requests are within the budget lines.
- Verify that all expense vouchers are properly approved; supported documents are properly organized and stamped with proper stamps
- Enter daily transactions in the cash and bank books and review to ensure that expense vouchers together with the relevant supporting documents are attached to support payments.
- Prepare the cash reconciliations and close the monthly accounts.
- Review the monthly payroll send by Senior HR, ensure that formulas, calculation of income taxes, social security, medical insurance and other allowances are accurate.
- Prepare cash request from Amman Office and ensure to monitor cash out in the safe.
- File the payment vouchers in the arch file and ensure that complete supporting documentations are attached.
- Make sure that payment vouchers are numbered and stamped
- Ensure that scanned copies of complete supporting documents are kept in the file.
- Prepare invoices claimed against LWF other programs, LWF Geneva and any other debtors.
- Ensure that all staff cash advances are properly reconciled, approved by line manager and charged to correct budgets lines
- Verify backup (translations, dates, stamps, etc.) for the Payment Vouchers.
- Assist the Assistant Finance Manager in preparation of monthly and other financial reports due to LWF Geneva and donors and update of reports templates.
- Assist in sub-grants reviewing for the submitted Monthly report along with having all the adequate backups.
- Conduct field visits to LWF activities in and outside Amman on a regular basis, as instructed by the Assistant Finance Manager.
Administrative:
- Organizing hosting meetings, training, events, and social activity by the LWF Jordan office and/or programs. Welcoming visitors including but not limited to the coordination of venue, supplies, meals, schedules and itineraries.
- Responsible for LWFs’ office equipment and regularly check and scheduling repairs through logistics department whenever necessary.
- Support the Irbid in maintaining office safety and security procedures to be strictly followed by all staff.
- Support the SHRO in the HR management as required.
Other
- Carry out any other duties as requested by the LWF Jordan Assistant Finance Manager & SHRO within scope of work.

Requirements:
Essential
- A minimum of a BA in Finance, management, MIS or any related field.
• Minimum of one to three years’ experience as Finance & Admin or one year experience with INGO.
• Good English communication (Verbal & Written).
• Proven computer literacy, including good knowledge of MS Office.
