The British Embassy, Amman is seeking a highly motivated and enthusiastic individual for the position of Protocol Manager, Grade – B3 (L).
Purpose of the job:
As Protocol Manager, you will be the interface between the office and high-level external stakeholders on protocol requirements and VIP visits at the airport (in the interim). You will lead a team of two staff, reporting to the Deputy Head of Corporate Services.
Main Responsibilities:
- You will lead and manage a small team of two, working with other teams around the Embassy including the newly appointed VIP visits officer.
- You will be responsible to continue to drive and further develop systems and processes in place, ensuring a smooth arrival for new UK Diplomats. This will involve dealing with their residency, vehicle registration, baggage shipments, airport passes etc.
- Ensure the protocol officer and assistant are working to clear systems and are supervised properly.
- When workloads dictate, and/or due to absences, assist the Protocol Officer and Assistant with the day-to-day administration and processing.
- Ensure departing officers are aware of their responsibilities to return documents; have a clear departure process in place.
- Liaise with the designated contact point in the Ministry of Foreign Affairs (MFA) on the policies we need to follow in country and on any issues your team/the Embassy are facing that can be dealt with at this level.
- Liaise with other Ministries/authorities at management level.
- On VIP visits, you will lead the Protocol team in terms of VIP arrival and departures logistics at the airport, to ensure visits runs smoothly with the MFA – this is as an interim. This may involve going to the airport outside of normal working hours, depending on flight times. The Visits Officer will lead on other aspects of the visit (including the paperwork prior to arrival with MFA) and will be in overall charge of the visit, whilst working with the Embassy team leading on the substance of the visit. Ensure visits provide the right information in good time.
- Ensure the Protocol Officer and Assistant has access to the necessary training and development opportunities.

Essential qualifications, skills and experience
Essential:
- Fluent communication skills in English and Arabic language (both written and spoken, this will be tested).
- Minimum 2 years of experience in managing cross-functional teams or projects and influencing senior-level management and key stakeholders.
- Candidate must hold a Bachelor’s degree in a relevant subject.
- Valid Driving Licence for Jordan.
- Extensive experience in managing service delivery, infrastructure and operations in an environment similar in size and security complexity.
- Strong interpersonal, leadership and stakeholder management skills, including managing, motivating and working proactively within a small team, understanding problems from a team perspective and helping staff to develop.
- Highly customer focused.
- Good IT skills (Excel, Word, Outlook).

- Experience of working in an Embassy or Ministry environment.

Working Hours and Remuneration:
The position is full-time, at 37 hours a week with considerations of flexibility depending on circumstances.
Pay is on the Embassy B3 (L) scale, with a salary of JOD 1577 per month. The package includes a good level of health insurance and a friendly, English-speaking work environment. We offer opportunities to develop professional skills through our Learning & Development offer. Leave entitlement is 25 days (on pro-rata basis) plus 14 public holidays.
The successful candidate will be subject to a 90-day probationary period.

If you are selected for this position, we will be able to employ you as long as you:
- Receive the appropriate level of standard security clearance;
- Have (or be willing to obtain) the right to live and work in Jordan.
- Valid work permit will be required before they can start work, if non-Jordanian. Candidate’s residence permit and work permit, and the expense to obtain them, will be their own responsibility.
