Job Description

Manage personal diary and travel bookings for the general Counsel, ensuring the effective scheduling of meetings, events and activities and providing him with relevant details of appointments and travel plans in a timely and efficient manner.

Set up, prepare agendas, attend and take minutes of regular meetings where required and circulate minutes to relevant persons, incorporating feedback as appropriate.

Provide support for setting up internal and external meetings and workshops involving the programs and management including setting of agendas and invitations and taking minutes.

Represent the General Counsel as directed ensuring compliance with the Hikma’s values, culture and ways of working at all times.

Work as a team with the lawyers at the General Counsel Office, and the wider global legal department to ensure all departments are supported to a high standard at all times.

Set up, maintain and continuously improve robust administrative systems, files, processes and procedures (manual and electronic) to support the work of the General Counsel.

Store, maintain and retrieve information for business purposes ensuring the integrity of such data at all times.

Maintain strict confidentiality and act with good judgement, discretion and integrity at all times.

Support the General Counsel with research to prepare for meetings and conferences on a broad range of organisational topics as may be necessary.

Support organisational-level and/or corporate projects as may be directed by the General Counsel including setting up and maintaining systems/processes for program management.

Assist legal team with scheduling of larger meetings if required.
